How to set AI rules for your office.

Set simple rules so your team uses AI safely at work. Copy a prompt and paste it into ChatGPT or Claude. It may ask up to 3 quick questions.

Write a one-page AI policy

When to use it: To set clear rules before the team uses AI.

It will ask you: Which AI tools does your team use? · Who reviews AI drafts before they go out (name or role)?

You are helping a dental office write a one-page AI use policy for its team.

Include: approved tasks (drafting messages, scripts, checklists, training), the rule that no patient information ever goes into a general AI tool, who reviews AI drafts before they are sent, how to report a mistake, and when we review the policy.

Rules: Plain words, under 350 words. Do not claim any tool is or is not HIPAA compliant. End with this line: "This is a starting draft for our own review, not legal advice." Do not describe any AI tool as public, private, secure or compliant. Do not explain how AI tools work or what they do with information.

Before you write, ask me only these questions, in one short numbered list. Do not add other questions. Do not repeat my instructions back to me; just ask the questions. Then wait for my answers:
1. Which AI tools does your team use?
2. Who reviews AI drafts before they go out (name or role)?
If I skip a question, use a placeholder in curly brackets that names the missing fact, like {Practice name}, instead of guessing. Never ask for patient names or other patient details.

Teach the team the AI rules

When to use it: For a 15-minute team huddle.

No questions. It writes right away.

You are helping a dental office manager. Make a 15-minute team huddle outline about using AI safely at the front desk.

Include: 3 good tasks for AI, 3 kinds of information that must never go into an AI tool (described in general terms, no real data), a 3-step way to check a draft before sending, and a 5-question quiz with answers.

Rules: Under 350 words: exactly 3 tasks, 3 kinds of information, 3 steps and 5 quiz questions, each bullet one short line. No names in the quiz, not even made-up ones. Show the minutes for each part so it adds up to 15. Write it now, without asking me anything. One of the 3 kinds of information must be patient names and anything else that identifies a patient.

Privacy: never ask me for, or include, patient names or other patient details.

Check a draft before it goes out

When to use it: Before any AI draft is sent or posted.

It will ask you: Paste the draft.

You are helping a dental office check a draft before it is sent or posted. Give me 4 short lists: facts to double check, promises we might not keep, anything that sounds cold or confusing, and anything that looks like private patient information. Do not rewrite it yet. Under 200 words.

Before you write, ask me only these questions, in one short numbered list. Do not add other questions. Do not repeat my instructions back to me; just ask the questions. Then wait for my answers:
1. Paste the draft. (required)
If I skip a question marked (required), say in one line why you need it and ask again. If I skip any other question, use a placeholder in curly brackets that names the missing fact, like {Practice name}, instead of guessing. Never ask for patient names or other patient details.

What you will get

EXAMPLE FOR A MADE-UP PRACTICE

Never put patient information into a general AI tool. This includes names, birth dates and health details.

Office manager Dana reviews every AI draft before it goes out.

Check before you use it

The owner approves it. It is a starting draft, not legal advice.

Limits

These prompts help with office work. They are not clinical, legal or billing advice, and AI can make mistakes. A person on your team checks every draft before it is used.

Questions

Can I paste patient information?

No. Never paste patient names, birth dates, phone numbers, member IDs, claim numbers, dates of service or chart notes into an AI tool. These prompts never ask for them.

Which AI tool should I use?

Any chat AI works, like ChatGPT or Claude. Use only the AI tools your practice has approved.

Is it free?

Yes. Every prompt is free to copy. No sign-up needed.
